How to create a sales invoice 

The are two ways to create a new sales invoice

  1. Create with billing information: Taimer imports all the data fed to the program during the desired timespan, such as all unbilled hours, expenses etc. 
  2. New blank invoice: You will create the invoice manually. No data will be imported and you are free to type in the definitions and prices.

1 Create by using project's billing information

Stage 1:

  1. Invoice type: Create with billing information
  2. Get invoicing material: Set the timespan from which you wish to import information
  3. Customer to be invoiced: Choose the right client. Taimer will show all the customers with unbilled hours etc. from the set timespan. 
  4. Project: Choose the project to bill. Taimer will automatically show all the customer's projects with unbilled hours or expenses. Choose the project you wish to bill. 
  5. Sub-project: If there are sub-projects listed under the chosen project, they will be listed here. 
  6. Invoicing address: This information will be automatically imported based on the information written on the project card.

Stage 2: Invoice details

  • The information written on the project cards basic info will all automatically appear in Invoice details.
  • This information can now be updated, edited or removed. 

Stage 3: Invoicing address

  • The billing address will be automatically filled by Taimer based on the information on the project card.
  • This information can now be updated, edited or removed.

Stage 4: Invoice details

  • Make sure all the information on the rows is correct.
  • You can edit/update the description, quantity and prices. 
  • You can add a headline row by clicking on Add headline.
  • You can add a new description row by clicking on Add row.
  • You can also add products on the invoice if you're using the product register. 

How to edit Invoicing material

  • Use the Invoicing material tool to see all the invoicing material created for the project
  •  You can remove information (hours, expenses, subcontractors etc.) by unticking the box next to the material. Click Generate rows. 
  • Even if you've already sent the invoice out to the customer, you are able to add hours afterwards. Just use the Add button under the headline, add the hours or expenses and click save. 

NB! If you edit or generate the description rows, all the prior changes will be deleted. The first thing to do is to decide which grouping to use in hour markings and then you are free to make any changes to the description rows.

NB!

  • Why is there a travel expense report missing on the invoice? Check the dates! If you have chosen the timespan of, let's say, from the first until the fifteenth of March and the travel expense report was approved in February, then it doesn't appear on the invoice. 
  • If you import 10 hours of recorded work hours on the invoice and decide to edit it down to 5 hours, Taimer will mark all 10 hours as billed.
  • If you want to leave some of the invoicing material out from a certain invoice and bill them later, use the Invoicing material tool and untick the box next to the expense you wish to leave out and click "Generate rows"

2 New blank invoice

  1. Invoice type: New blank invoice
  2. Get invoicing material: Set the timespan from which you wish to import information
  3. Customer to be invoiced: Choose the right client. Taimer will show all the customers with unbilled hours etc. from the set timespan. 
  4. Project: Choose the project to bill. Taimer will automatically show all the customer's projects with unbilled hours or expenses. Choose the project you wish to bill. 
  5. Sub-project: If there are sub-projects listed under the chosen project, they will be listed here. Invoicing address: This information will be automatically imported based on the information written on the project card.
  6. The process is mainly similar to when you import the invoice material, but now you have to manually fill in all the invoice rows.
